The Hug Group are committed to ensuring that your privacy and any data we hold about you or receive from you, is processed and protected in accordance with the law.

Some of the information we collect, research and process may be classified as “personal data” under European Union (EU) law as it is information relating to an individual (e.g. a named contact in a school, nursery or corporate body etc). This privacy notice provides the information we are required to give in relation to the processing of personal data under EU law.

We believe your private information should be just that, private. Clearly, to operate our services we need to collect some personal information about you and children you care for. This policy explains what we do and why we do it.

 

What we collect

We ask for your name and email address when you sign up to our service. This is our primary mechanism to identify you when you log in. For the purposes of tracking children you care for we also collect some optional information such as the children’s names.

 

How we store the information

We take great care to keep your personal information safe, The Hug Group’s products and it’s databases operate within the Amazon Web Services platform. Our data security policy can be found here

Their computers that are housed in secure data centres with heavily restricted access with numerous levels of security to prevent unauthorised access to those servers including firewalls and passwords.

 

What we do with the information

Email is a vital part of The Hug Group, emails are used to communicate password resets and other essential information. We don’t allow users to opt out of these emails. We also use email to send occasional alerts, reminders and newsletters in relation to The Hug Group and how you use The Hug Group’s products, all these emails contain a link that allows a user to opt out of further communication with a single click.

The primary use of the data we collect is to provide the services of The Hug Group, we use children’s names, classes, photos, medical and SEN details and other such information. This is all optional and is at the discretion of the customer. You’ll see the information presented within the App and in our online administration portal.

 

Who we share the information with

To help us deliver The Hug Group’s products we use various 3rd party apps. We asses all these apps to ensure compliance with the Data Protection act, our Privacy Policy, and to ensure your data remains in safe hands.

Retention and Destruction

Our policy is to provide our customers with control over retention and destruction of their data. Individual users of The Hug Group can be deleted anytime as well as entire customer accounts. Deletion is instant and irrecoverable. Any data stored on backups will be deleted entirely within 35 days.

 

What we don’t and won’t ever do

We don’t, and never will sell or rent your information to any 3rd party.
